Terms of Service

Effective August 1, 2026. This page is maintained by ChiroReports LLC and describes the agreement between you and us for the use of ChiroReports.

By creating an account, subscribing, or generating a report, you agree to these terms. If you do not agree, do not use the service.

1. What ChiroReports is

ChiroReports is documentation software for chiropractic practices. It helps you produce x-ray reports, narrative reports, patient-facing imaging explanations, and supplement plan handouts from information you supply. It is a drafting tool. It is not a medical device, it does not diagnose or treat anyone, and it does not practice medicine or chiropractic.

2. Your professional responsibility

Every document ChiroReports produces is a draft. You are the licensed provider of record. You are responsible for reading, correcting, and approving any report before it goes to a patient, an attorney, an insurer, or a legal proceeding, and for confirming that it reflects your own clinical findings and judgment. Report content, including any content produced with AI assistance, may contain errors or omissions and must never be released unreviewed.

3. Accounts and eligibility

  • Accounts are intended for licensed chiropractic and medical providers and their authorized clinic staff.
  • You must give accurate account information and keep your login credentials confidential. You are responsible for activity under your account.
  • One account is for one provider unless you are on a plan that includes multiple providers. Sharing one login across providers to avoid per-provider pricing is not permitted.
  • You must be at least 18 years old.

4. Plans, credits, and billing

  • Subscriptions are billed in advance on a recurring basis through our payment processor, and renew automatically until cancelled.
  • Report credits purchased individually are consumed as you generate reports and do not expire.
  • Prices are shown on the pricing page and may change. We will give notice before a change affects your renewal.
  • You can cancel, change plans, update your card, and view invoices at any time from Settings.
  • If a payment fails, we may retry it and may suspend report generation until the balance is settled.

5. Refunds

  • Subscriptions can be cancelled at any time from Settings. Cancellation takes effect at the end of the billing period you have already paid for, and we do not prorate or refund partial months.
  • Individual report credits are refundable while they are unused. Once a credit has been spent to generate a report, it is considered delivered and is not refundable.
  • If you were charged in error, or charged twice, email us and we will refund it.

6. Trials and promotional access

We sometimes grant temporary full access through beta access codes or promotional arrangements. That access is a courtesy, is limited to the stated period, and can be ended or shortened by us. When it ends, your account returns to whatever paid plan or free tier you are on at that time.

7. Patient information and your role

ChiroReports is designed so that identifiable patient information does not need to reach our servers. Patient names and dates of birth you enter stay in your browser, and uploaded imaging reports are redacted in your browser before any content is transmitted. Because of that design, you agree not to deliberately place identifiable patient information into fields intended for de-identified clinical content. You remain responsible for your practice's own privacy and security obligations, including the devices, browsers, and staff accounts you use, and for how you store and transmit the finished reports you download.

8. Acceptable use

You agree not to:

  • Resell, sublicense, or white-label the service without our written permission.
  • Scrape, reverse engineer, or attempt to extract our templates, prompts, or rule sets for use in a competing product.
  • Circumvent plan limits, credit metering, or per-provider pricing.
  • Use the service to produce documentation for care that was not rendered, or to misrepresent findings to an insurer, attorney, or court.
  • Probe, overload, or interfere with the service or other users' accounts.

We may suspend or terminate an account that violates these terms, and in serious cases without prior notice.

9. Your content and our content

You keep all rights to the clinical information you enter and to the finished reports you generate. You grant us only the limited permission needed to process that content in order to operate the service for you. We keep all rights to ChiroReports itself, including the software, templates, report structures, rule sets, and branding.

10. Affiliate program

If you join our affiliate program, these additional terms apply:

  • You earn 30% of the recurring subscription revenue we actually collect from customers who sign up through your referral link, for as long as they remain a paying customer.
  • Commissions are held for a maturation period of 30 days after the payment is collected before they become available for payout, so that refunds and chargebacks can be accounted for. A refunded or charged-back payment reverses the commission.
  • Self-referral is prohibited. You may not use your own link to buy your own subscription, and you may not create accounts for yourself, your own clinic, or household members through your link.
  • Fraudulent, incentivized, misleading, or spam promotion is prohibited. This includes paid search bidding on our brand terms, coupon or discount claims we have not authorized, and unsolicited bulk email.
  • We may place a commission under review, withhold it, or reverse it where we reasonably suspect a violation, duplicate account, or fraud. Reviewed commissions are decided by us and our determination is final.
  • Payouts are made through our payment processor's connected-account system once your available balance reaches the stated minimum. You are responsible for providing accurate payout and tax information and for any taxes on what you earn.
  • Either of us can end your participation at any time. Commissions that have already matured and are not under review will still be paid.

11. Availability and changes

We work to keep ChiroReports available and accurate, but we provide it on an "as is" and "as available" basis without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, and non-infringement. We may add, change, or remove features, and we may modify these terms. Material changes will be posted here with a new effective date, and continuing to use the service after that means you accept them.

12. Limitation of liability

To the fullest extent the law allows, ChiroReports LLC is not liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, lost revenue, lost data, reimbursement denials, or claim outcomes arising from your use of the service. Our total liability for any claim relating to the service is limited to the amount you paid us in the twelve months before the claim arose.

13. Indemnity

You agree to indemnify and hold ChiroReports LLC harmless from claims, losses, and expenses arising out of your use of the service, the reports you release, your clinical decisions, or your breach of these terms.

14. Termination

You can close your account at any time. On termination, your right to use the service stops, and stored report drafts may be deleted according to your retention setting. Export anything you want to keep before you close the account. Sections covering payment obligations, intellectual property, liability, and indemnity survive termination.

15. Governing law

These terms are governed by the laws of the State of Florida, without regard to its conflict-of-law rules. Disputes will be brought in the state or federal courts located in Florida, and both sides consent to that venue.
